Sharing club documents

Upload club files, choose who can download them, and remove outdated documents.

Follow these steps at your club’s own website. Available screens and actions depend on your account’s role and the programs your club has enabled.

Overview

Use Website → Documents for bylaws, meeting minutes, insurance certificates, and other files your club shares. Managers and admins can upload and delete documents when the Documents module is enabled. Members read and download eligible files from Documents in their portal.

Upload a document

  1. Open Website → Documents and find Upload document.

  2. Enter a required Title and an optional description.

  3. Choose the Visibility carefully before uploading.

  4. Add an optional Tag to label the document. A tag is not a folder.

  5. Choose a PDF, PNG, JPEG, GIF, or WebP file, up to 10 MB, then select Upload.

The document appears in the library after upload. There is no separate draft or publish step.

Choose who can read it

  • Public (all members) and Members are both available through the signed-in member portal. “Public” here does not mean an anonymous download on your marketing website.

  • Board only is the current screen label for staff-only access: managers, treasurers, and admins can read these files. Ordinary member accounts cannot.

Downloads require sign-in and the appropriate access. Sending someone a download link does not give them permission to read a restricted file. The portal also supports eligible former-member accounts; do not assume that the Members label is an active-membership-only restriction.

Find or remove a file

The staff list shows the title, visibility, filename, size, and publication date. Select the filename to download it. Members see the files their account is permitted to read in the portal.

To remove a file, choose Delete document and confirm. The document is removed for everyone. Keep your own original if you might need it again; the library does not offer a restore control.

What the library does not do

  • There is no in-place file replacement, metadata editing, or version history control today. To replace a document, upload the corrected file with the intended visibility and remove the outdated entry.

  • Uploading a waiver PDF does not collect a signature. Use Agreements for camp waivers, lap rules, and facility rental agreements.

  • The library is not an anonymous public file host. Use your website’s page editor for public page content and images.
