“Ask for documentation” means the cited page does not establish that capability; it does not mean the vendor cannot provide it. Prices and features can change. Swim Ops’ founding first-year offer is not a renewal-price comparison. Confirm processing charges, taxes, messaging usage and service scope in each proposal.
Make the demo count
Use the same scenarios with every vendor. The useful comparison is how much work remains for you after each task is complete.
Find a household’s dues, membership status and bond history. Show a partial payment or late renewal and how it is resolved.
Fill a camp or lesson, move someone from a waitlist, then cancel a booking. Explain what happens to the place and the money.
Find the relevant records, prepare a reply and explain what the assistant can change immediately versus what requires approval.
Show the API documentation, authentication, permissions and a supported AI connection. Ask how access is revoked.
Review a sample import, explain unsupported data and agree who handles corrections, launch communications and ongoing support.
Swim Ops is a strong fit for the administrator who wants connected membership, money and programs, documented access for external AI tools, and guided migration. If swim-meet timing, competition entries, point-of-sale hardware or a particular native mobile app is essential, verify those requirements separately. Swim Ops does not replace competition-management software.
For cost, compare software, setup, payment processing, messaging and the work your team still carries. See Swim Ops pricing and use the payment-fee calculator with your own payment mix.
