Sign in without passwords
Members and staff sign in with a link sent to their email, or with their Google account. There are no passwords in the system at all. So there are no password resets for a volunteer to field.

Mistakes are one click from fixed
Every edit to a household or member is recorded with a before-and-after picture. Staff can undo a single change or a whole bulk edit straight from the audit log for thirty days. Money records are excluded on purpose. Corrections to the books are made as new entries, never by rewriting history.
Duplicate families get caught
When someone joins from the public site the platform checks whether that household already exists and lines up likely matches for staff to review. The roster stays clean, and a second entry is a much harder way to game a waitlist.
One statement, every screen
A household's statement, balance, bond, and camp spending suitable for dependent-care claims, shows the same numbers in the member portal, the admin console, and email. The treasurer never has to reconcile two versions of the truth.
A place for everyday questions
Members can ask a question right on their portal home. The assistant uses the club's published pages, help content, and that family's account to prepare an answer. Members can check the sources and contact the club team when they need more help.
Automations you build yourself
A real workflow builder, not a fixed menu. Pick a trigger, add steps, emails, staff tasks, tags, portal notices, and rehearse the whole thing against the last thirty days of the club's real activity before it can be switched on. Rate limits and a circuit breaker contain mistakes, and every run is kept in history.
Your data has an API
A real REST API with keys the club's own admins create and scope. Pull the roster, memberships, invoices, and waitlist into your own spreadsheets and scripts whenever you like. Your data is yours, and it is never locked in.

Who changed this, and can we undo it?
The audit log records every tracked change with who made it and, where the action records them, the before and after values. It is append-only, so an undo adds a new row instead of rewriting history. Eligible non-financial changes from the last thirty days can be undone there.
Can our bookkeeper get the numbers out?
Yes. Reports exports the monthly general-ledger journal as a CSV your bookkeeper can import, alongside receivables aging, bond liability, the payout reconciliation and the approved check run. Household and camp rosters export separately. There is no single one-click export of everything.
Can we connect our own tools?
Yes. An admin creates an API key scoped to only what the integration needs, shown once when it is created. Reads and writes go through a documented REST API with a published OpenAPI document. Actions that move money or message members still need staff approval in the console.
Who keeps track of what staff still need to do?
Tasks are internal staff to-dos that members never see. Staff add them by hand, or a workflow creates one when its trigger fires. A task can belong to a role rather than a named person, so it stays with whoever is covering that job this season.
