AI for the everyday work

Your club’s context. A useful head start.

Write the next update, get the full picture on a household, or prepare renewal follow-up. AI works with the information already in Swim Ops, with people in control of what happens next.

AI for staff and members

Help where the work already happens.

Built into the editor

Start with a useful draft.

Describe the newsletter or website text you need. The writing assistant draws on your club’s voice, recent newsletters, upcoming events, hours, and described library images. You edit and save the draft.

Connect your own assistant

Work across club records.

Staff can connect a compatible AI app to look up households, summarize balances and open questions, and prepare supported updates. It uses the staff member’s permissions and records actions under their name.

Built into the member portal

Help members find an answer.

Ask uses the club’s published information, member help, and the household’s own account. Members can send an unresolved question to the pool team, along with the answer they received.

See the member experience

Built-in AI needs to be enabled for your club. Staff connections are off by default and need a compatible remote MCP app with OAuth sign-in. Members use Ask inside the portal; personal-assistant connections for member accounts are not available today.

Three everyday starting points

Start with the job you need to finish.

  1. Write the next club update.

In the editor: “Draft an update about this week’s pool hours and upcoming events.” Review the facts and wording, add any missing details, then send through the usual checks.

  2. Understand a member question.

In your connected staff assistant: “Summarize this household’s membership, balance, and open questions. Don’t change anything.” Use the shared record to prepare your response.

  3. Prepare renewal follow-up.

“Review this renewal season and summarize the households that need attention.” Check the records, decide who needs a follow-up, and approve any member messages in Swim Ops.

Your team stays in control

Clear permissions. Visible decisions.

Access

Start with look-only access.

Your club chooses whether staff can connect assistants and whether those connections can make changes. A connection cannot give a staff member more access than their role allows.

Actions

Review consequential changes.

Supported everyday updates can run with the connection’s permission; many changes first show a preview in chat. Member messages, money movements, and sensitive account changes require approval on the website.

Accountability

Know what happened.

Connected-tool actions appear in the audit log. Staff can disconnect a tool. AI can make mistakes, so review drafts and important facts before acting.

Read the permissions and limits

Some steps stay in the website, including camp lottery draws and workflow dry runs. Recording a received check is supported within a club-set daily limit. Your AI provider’s account, plan, and data policies also apply.

For your own integrations, the public API reference describes supported operations and scopes. Optional managed service is agreed separately.

A few good questions

Know what to expect.

Do we need our own AI account?

The built-in writing assistant and member Ask work inside Swim Ops when enabled for your club. Connecting a staff member’s own AI app requires an account with that provider and support for remote MCP with OAuth.

Can AI send messages or move money on its own?

A connected staff assistant must request approval in Swim Ops before sending member messages or moving money. Supported everyday updates have their own permission and confirmation rules. Recording a received check is allowed within your club’s configured daily limit.

Can members connect their personal assistant?

Not today. External assistant connections are for staff. Members can use Ask inside the portal when it is enabled, or write directly to the pool team.

Is managed service required?

No. Built-in AI and supported staff connections are platform capabilities, subject to setup and permissions. Managed service is optional, with scope and pricing agreed separately.
