Follow these steps at your club’s own website. Available screens and actions depend on your account’s role and the programs your club has enabled.
Overview
When someone fills in the join form with details that strongly match a household already on file, their application pauses. No household or application-fee invoice is created until a manager or admin decides. Review these on Household reviews, which shows up as a card on Home when something is waiting, and which you can also find with Search.
Review a match
Each waiting application is a card with the applicant's name, email, phone and address, and one or more possible matching households. Each match is a link to that household's page and carries small labels saying what matched (for example the same email or phone). Open the household to compare names, email addresses, phone numbers and family members. Write what you checked in Decision note, then choose:
Not a duplicate: they are a different household. The applicant can submit again and carry on to payment, and the same details will not be held for review again.
Existing household / invite instead: they already belong to a household here. Resolve the review, then invite them to that household, or add them to it, from the household's People tab.
Needs financial review: money may be involved, such as a bond, an unpaid invoice or an earlier membership. This records that a closer look is needed and gives the applicant no all-clear; keep the decision note so the treasurer can see what you found.
The note is the record of why you decided. It is expected for the last two choices. A review can only be decided once, and the decision is recorded in the audit log.
A connected AI tool can list the waiting applications, but it cannot decide one by itself: its request waits for your approval on the website, where you see what it wants to record.
Do not decide only because an address or phone number looks similar. Check with the household when you are unsure. If two records turn out to be the same family, see merging duplicate households.
Low-confidence matches
Below the waiting cards, Possible duplicates (low confidence) lists applications that matched an existing household on a single weak sign. Nothing was paused; the application went ahead and became a household. The list is only for your awareness, so you can look at the new household and its possible match if something seems off.
