Hours & closures — when the pool is open

Publish seasonal hours, announce changes, and close the pool when needed.

Follow these steps at your club’s own website. Available screens and actions depend on your account’s role and the programs your club has enabled.

Overview

Hours & closures (Reach → Website → Hours) is the one place to answer "are we open Saturday?" Managers and admins set the season, the weekly schedule, and one-off changes. Members see the same open/closed sentence on the portal and the public site.

The page, top to bottom

  1. Today's status — the sentence members see ("Open today, 10 am – 8 pm" or "Closed today — swim meet"), plus a link to view it on your site and the Close the pool now button. When a season exists but weekly hours are not saved yet, the strip says so and links to Weekly hours. A weekday marked Closed in weekly hours reads "Closed today (regular hours)".

  2. Season — the dates the pool is open this year. Seasons may not overlap.

  3. Weekly hours — one row per day, open by default until you set times. Mark a day Closed, or enter open and close times. Use Copy to other days on an open row, then Save weekly hours.

  4. Changes — a month calendar (or list) of one-off hours, closures, and approved private events. Use Add a change in the card header (or click an empty day) to add; click a chip to edit. The form asks for dates, then one of four types:

    • Closed all day

    • Opens later (a time)

    • Closes early (a time)

    • Only part of the pool (main pool, baby pool, lap lanes, deck, or clubhouse — plus optional lanes and a time window)

    Members see the reason you enter. Preset chips (Swim meet, Weather, and so on) fill that field. Before you save, the page tells you what else is affected — for example how many lap reservations would cancel, and whether rentals can't be booked that day.

Close the pool now

When weather, staffing, or water quality forces a same-day close, use Close the pool now on the status strip:

  1. Pick a reason members will see (Weather, Not enough lifeguards, Water quality, or Other).

  2. Choose until when — the rest of today (default), a time, or a later date.

  3. Tell members: Email is on by default; the portal banner is always on; Text message is optional and only appears when the club can send texts.

Saving records a whole-pool closure for today from now until the time you chose. Members with an active membership (and anyone with a lap reservation or rental in that window) get one email. The portal shows a warning banner for same-day closes. Reopen ends the closure at the current time, keeps the row so the change stays in the audit trail, and emails an all-clear. Members are not told twice about the same close or the same reopen.

Planned changes you add ahead of time publish on the calendar and on the member hours view; on their own they do not email anyone.

What a change does

  • A whole-pool closed day cancels overlapping open lap slots and blocks facility rentals for that window. Families holding a reservation on a cancelled slot get a one-line email naming the slot and the reason.

  • Opens later / Closes early adjust the published hours for that date without cancelling slots on their own.

  • Only part of the pool closes that area (lap lanes also cancel covered lap slots, and email those families). Other areas stay open on their usual hours.

Approving a facility rental writes its own "Private event" change, so the rental shows on the calendar as a read-only chip and a second rental can't be booked over it; cancelling the rental removes that change. Manage the rentals themselves on Facility rentals.

Removing a change does not bring back lap slots it already cancelled — the confirm step names how many.
