Renewal review prompts and extensions

Understand household review prompts and give a household more time to renew.

Follow these steps at your club’s own website. Available screens and actions depend on your account’s role and the programs your club has enabled.

Overview

When a household renews at /portal/renew, the platform checks their record and shows them up to five prompts before they pay: missing contact email, an unreachable contact, missing mailing address, a young-adult dependent's living-at-home status, a dependent missing a birthdate, no phone on file, and whether they'd like to opt in to SMS. A clean household with none of those gaps sees no prompts at all.

What actually blocks renewal

Only one of these prompts can stop a renewal review from being confirmed: no working email on file. Every other prompt is informational. It's shown, but it doesn't block anything.

None of the prompts block the pay link. The link to pay dues renders regardless of open prompts. A household can pay dues with an unresolved composition question or a missing phone number; only a household with no reachable email at all is stopped from confirming its review.

What the composition prompt does (and doesn't do)

The composition prompt only appears for a dependent who's turned 18–22 that renewal year, asking whether they still live at home ("Yes, still at home" / "No, they've moved out"): it's not a general "is our roster right" question. If a household answers "no," the platform does not remove that dependent automatically. It creates a task for a manager to review and make the change by hand. Only the SMS opt-in prompt applies its answer directly: an explicit "yes" turns on SMS for that household immediately.

Confirming is safe to retry

If a household (or staff, testing on their behalf) confirms the same renewal review twice, the second confirmation doesn't error or create a duplicate. It just returns the existing review row. You don't need to worry about a double-click creating two records.

Why this also matters for camp

The emergency contact fields and any dependent medical notes collected during renewal review are reused to prefill camp registration later in the year. A family that fills these in once at renewal won't be asked to retype them when they register for camp.

Granting a renewal extension

An extension changes a household's effective deadline for that renewal year, independent of the renewal year's default dues deadline.

Extensions are granted from the household's own page, not from Renewals. To grant one:

  1. Open Households and find the household.

  2. On their page, find that year's renewal card (it shows the current renewal state, e.g. "invoiced" or "reminding").

  3. Grant the extension, picking the new date and entering a reason.

This requires manager or admin access. The treasurer role cannot grant or revoke an extension. The same card lets you revoke an active extension, which puts the normal deadline back into effect immediately.

What an extension actually changes, in short: it's the source of truth for that household's effective deadline, so it prevents a late fee from ever being assessed and suppresses date-keyed reminder steps (like a fixed-date text) while it's live — though day-relative email steps in the ladder still go out on schedule, so an extended household can still see some reminder emails and that's expected. Known gap: no admin list of open prompts

There is currently no admin-facing list of "households with an unresolved blocking prompt." If you need to check whether a specific household has an open renewal-review prompt, open that household's page and check its activity feed. The review shows up there, not as a dedicated summary line.
