A fair lottery when camp fills up
When a camp has more families than spots a fair random draw decides who gets in. Run the same draw again later and it lands on the exact same result so the fairness can be checked and not just trusted.
Siblings can be entered as one unit
Each week a family ranks in the lottery has a "keep together" option, checked by default whenever the kids are eligible for the same week. Leave it on and the whole sibling group is entered as one unit for that week's draw and any later backfill off the waitlist. A family can turn it off if splitting up works better for them.
A real waitlist behind the lottery
Families who don't get a spot in the draw land on a real waitlist in fair first-in-line order. Staff can promote a family into an open spot or remove one and the capacity limit is never broken along the way.
Your cancellation dates and deposit lock in at booking
The cancellation deadlines and the deposit are shown before a family ever pays, and both lock in the moment they book. A later change to those settings never reaches back and rewrites a deal a family already has. The share credited and any cash-refund fee are the ones in force on the day a family actually cancels.
Fair transfers between sessions
A family can move from one camp session to another and any price difference is settled fairly against the household's full balance. Nothing about a transfer has to be worked out by hand on the side.
Lottery credit only moves once the seat is filled
Cancel a spot you won in the lottery and the credit isn't issued until the next family in line off the waitlist is actually seated and has paid. That way nobody is ever double-paid for the same spot.
Safety information right on the roster
Allergies show up right on the roster with a clear flag for anything urgent such as anaphylaxis. Pickup permissions and emergency contacts sit right next to each camper's name so a caution never gets buried where staff might miss it.
The printed roster always matches the screen
Whatever staff print or export for camp day is the exact same information that is on screen at that moment. There is no separate spreadsheet floating around that could fall out of sync.
