Custom fields

Add your own questions to member profiles and decide who sees them.

Follow these steps at your club’s own website. Available screens and actions depend on your account’s role and the programs your club has enabled.

Overview

Use Custom fields to add your own questions to each person's profile, such as "Volunteer interest" or "T-shirt size". The answers show on a person's record, and you can use them to build a saved audience for a message or find them in an export. Open it from Club → Membership, under Related. Every staff role can open the page.

Add a field

Fill in Add person field:

  • Key: a permanent short name, lowercase letters, numbers and underscores, starting with a letter (for example volunteer_interest). It is used in saved audiences and exports and cannot be changed later.

  • Label: the question as people read it.

  • Field type: Text, Long text, Number, Yes / no, Date, Single select, Multi select, Phone, Email or URL. For the two select types, type the choices one per line.

  • Help text: an optional line shown under the question.

  • Required: members must answer it.

  • Who sees this field: Show in member portal, Show on entry / apply forms, and Admin only (hidden from members).

  • Applies to: account holders, family members who have no login, or both. Leave both ticked to offer the question on every person.

A preview of the question appears as you fill in the form. Select Add custom field to save it.

Change or remove a field

The Active fields table lists every field with its type, whether it is required, who sees it, who it applies to and its choices. Select a field's label to edit its label, help text, choices, visibility and who it applies to.

The field type locks once anyone has answered it, so you cannot turn a Text question into a Number after the fact. The key never changes.

A field nobody has answered shows Remove, which deletes it. A field with answers shows Archive: it disappears from forms and saved audiences, but the answers are kept, and its key stays reserved. Archived fields are listed at the bottom with how many answers they hold. Nothing here can delete answers that people have given.

Asking Claude to do it

If your club lets connected tools make changes, Claude or another connected tool can list your custom fields, add one, edit one, and archive or remove one. Each asks you to confirm in the chat first, with one exception: the request waits for approval on the website, from the person who asked, when it would let more people see the field or make members answer it. That means a new field that shows in the member portal, shows on entry and apply forms, or is required (a new field shows in the portal unless you say otherwise), and an edit that turns on the portal or the forms, turns on Required, or turns off Admin only. A new staff-only field, and an edit that hides a field or leaves who sees it unchanged, only need your confirmation in the chat.

A field's key is permanent, and its type is locked once anyone has answered, whoever makes the change. Archiving works as it does here: a field nobody answered is removed, and one with answers is archived and cannot be brought back. See What Claude can and can't do here.
