Email and texting

Keep members in the loop. Keep your inbox under control.

Start with an AI-assisted draft in your club's voice. Build it in the editor, choose an audience from your member records, and review before sending. Newsletters, renewal reminders, and delivery history belong in the same place as the rest of your club.

How it works

Everything your club needs to talk to members

Your audience, writing tools, and delivery history stay connected to the rest of your club.

A first draft in your club's voice

The built-in writing assistant uses your club's tone, recent newsletters, upcoming events, and pool hours to prepare a draft in the editor. Staff review, edit, and save it before anything is sent. We help enable the assistant for your club.

Build a message worth reading

Put together newsletters and website content with the rich block editor. Add headings, images, callouts, and buttons, and choose pictures from your club's shared media library.

Your voice in routine reminders, too

Edit the wording of automatic renewal and payment emails, including dues reminders and receipts. Preview before saving, send yourself a test, and keep a history of changes. Other automatic messages still use standard wording.

One place to send everything

Manage email and text campaigns alongside your member records. Text sending requires sender registration and member consent; we work through that setup during onboarding.

Build a list in a few clicks

Find households with an open invoice or an active membership, then save the audience for next time. The list draws on your club's records, so there is no separate mailing list to rebuild.

Know your reach before you send

Check the audience count and send a required test email before sending a campaign. Review a portal notice before publishing it. You stay in control of what reaches members.

Track opens and clicks

See whether a message actually landed and got read. Opens and clicks show what worked and what did not.

Unsubscribe from the newsletter not the important stuff

Members can skip the newsletter with one click any time. Billing notices and renewal reminders use their own delivery rules.

A record of every message sent

Every email and text sent through Swim Ops is logged in one place. There is always a record of what went out and when.

A few good questions

Messaging questions.

If a member unsubscribes, do they stop getting billing notices?

No. Unsubscribe stops newsletters and other marketing mail only. Receipts, renewal reminders, waitlist offers and replies to their own questions keep going, because those are transactional. Only a hard bounce or a spam complaint blocks everything, because those say the address itself is failing.

How do we find out that a message didn’t reach someone?

Every send writes a row you can read. A household’s Activity tab lists each message and its status; a campaign’s recipient list adds the actual reason a message was blocked — a suppression, a bounce, or an email address nobody has confirmed yet.

Could an automation email the whole club by mistake?

Every workflow starts disabled and cannot be switched on until you run a dry run, which resolves real households and sends nothing. Each run is capped at a set number of recipients, and a workflow that passes its daily limit stops itself and waits for an admin.

Can we send text messages?

Not from the Messages composer yet — it sends email and portal notices today. Texting needs carrier registration and each member’s own opt-in first, and we work through that with your club during onboarding. A daily cap on texts applies once it is live.
