Getting started

The admin dashboard

Use your daily overview, role-specific cards, and search to find work that needs attention.

Follow these steps at your club’s own website. Available screens and actions depend on your account’s role and the programs your club has enabled.

Overview

The admin home page (/admin) shows seasonal totals, work that needs attention, and search. Open a card or search result to manage the related records.

When available, Connect an AI assistant appears below the work queues. Choose Set up assistant to connect a supported tool, or Dismiss to hide the suggestion in this browser.

Dashboard modes

The dashboard has three modes, chosen automatically from the calendar month:

  • Renewal, November through February

  • Summer, May through September

  • Off-cycle: March, April, and October

The mode changes the header and the hero stats at the top; the cards below are the same in every mode. You can pin a mode with the mode picker (Auto / Renewal / Summer / Off-cycle). The pin lives in the URL (?mode=), so a pinned view is sharable and the back button works. "Auto" clears the pin.

The sidebar follows the same mode (calendar month, or the pin when you set one on Home). In renewal season, Renewals moves to the top of Members. In summer, Programs moves up to sit right under Members. Nothing is removed — every link you can open stays there year-round.

Header and hero

The header shows the current-cycle label and a countdown to the next hard date: the dues deadline while in renewal mode (configured in Settings), otherwise the next mode transition (summer begins, off-cycle begins, renewal year begins).

Until you have set a dues deadline, the header says "no dues deadline set yet" and links you to Settings rather than counting down to a date you never chose. The same goes for the renewals card: before you open a renewal year it explains what opening one does, instead of only saying there isn't one.

Each mode's hero answers that cycle's "how are we doing?" at a glance:

  • Renewal: households renewed of total, dollars collected vs expected, delinquent count, pending relinquishments, outstanding waitlist offers.

  • Summer: today's lap slots and reservations, the camp week in progress (enrolled of capacity), rentals and events this week, open tickets (with the oldest one's age), unfulfilled shop orders.

  • Off-cycle: receivables aging total and buckets, months not yet closed, waitlist depth, and the most recent campaign's engagement.

Cards are role-gated

Each card below the hero (tasks, payables, tickets, facilities, relinquishments, household reviews, email confirmations, approvals waiting, campaign failures, overdue invoices, renewals, delinquent households, money, waitlist, and program cards) is computed only when your role could open the console behind it. The dashboard never shows a count your role could not open. If a colleague sees a card you don't, that's the role gate, not a bug.

Household reviews, Email confirmations, Pending relinquishments, My tasks, and Approvals waiting are the doors for queues that no longer sit in the sidebar — open them from the card, or use Search (⌘K / Ctrl K). Approvals waiting appears only when a connected tool has something pending your say-so. Agreements live under Club → Programs; open sign-ups and prices from each program’s Registration & pricing tab (not a separate sidebar item).

The Tasks card is the one personalized card: it shows your open tasks plus open tasks assigned to your role, not every task in the org.

Global search

The search box is a plain GET form. The query lands in the URL, so a search result page can be shared or bookmarked. Results link into households and the other consoles. The sidebar Search control (⌘K / Ctrl K) is the same idea for jumping to any admin page, including ones that left the sidebar.

In the sidebar search dialog, type at least two characters to look up households. Page shortcuts are available immediately. If household search is unavailable, the dialog says so; page shortcuts still work. Opening the dialog puts the cursor in the search field. Results do not move keyboard focus away from what you are typing.
