Follow these steps at your club’s own website. Available screens and actions depend on your account’s role and the programs your club has enabled.
Overview
Club is the single place to change how the club works: identity, membership rules, payments, programs, staff, and rarely needed tools. Open it from the sidebar. Almost every dollar amount, deadline, and policy window members see is a knob here. Help articles intentionally say “configured in Settings” instead of hardcoding one club’s numbers — this corpus is shared across tenants.
If you are still setting the club up, Setup (listed in the Club left rail while the checklist is incomplete, and also on Home) is a better place to start: it names which knobs still hold our defaults rather than your club's answers, and links straight to them. See Getting started.
Bookmarks to the old Settings page (/admin/settings) land on Club.
Who can open each section
| Section | Who |
|---|---|
| Club info | Admin |
| Membership | Admin |
| Payments | Treasurer or admin |
| Programs | Manager or admin |
| Staff & tools | Admin |
| Advanced | Admin |
Managers and treasurers only see the sections their role can open.
The six sections
Club info — legal name, EIN, address, timezone, branding, contact and reply-to email, go-live. Who the club is, not day-to-day policy.
Membership — how households join, residency wording, dues deadline, late fee, bond, initiation, waitlist clocks, the target number of member households (used to work out how many waitlist offers are safe to send at once), confirmation email copy, membership tiers (add/rename/deactivate; never delete a historical key), and a link to custom fields.
Payments — Stripe Connect, which payment methods each product offers, card surcharge, check payee/address, partial-payment minimum, bank-transfer stale window, treasurer notification emails.
Programs — which optional modules are on, and each enabled program's policy keys (camp, lap swim, lessons, guests, and shared program waitlists). Managers and admins can edit those program keys here (including camp deposit, refund windows, and unpaid-seat timers). Turning a module off hides its admin and portal navigation and makes its pages 404; it never deletes data. Households, billing, membership, waitlist, bond, tickets, and the audit log stay on.
Staff & tools — who can sign in to the admin console (roles), the connected-agent toggles and limits, plus links to API keys and Connected tools. Roles: super admin, treasurer, manager, instructor (own lesson pages only), and member (revokes admin access). The last admin cannot be demoted. See Connecting Claude to your club and What Claude can and can't do here.
Advanced — rarely needed. Where failure alerts and campaign test copies go, plus links to Member import and the Audit log.
An on/off setting is a switch: flipping it saves that setting right away — there is nothing to save afterward. Every other setting still needs the Save button beside it, or Save all settings to save the whole section after confirmation (that button now only covers the typed fields, not the switches). An unset value reads Not set; a switch reads On or Off.
Under Payments, Manage payment account opens the Stripe account page. Check payment setup means the summary cannot confirm that charges are enabled; it does not establish that Stripe is reviewing the account.
Change a setting, then verify the member-facing surface (portal renew, camp cancel quote, Checkout card fee copy) still matches what you intend.
Payment methods and card fees
Payment methods use checkboxes. ACH debit means the member links a bank account; Bank transfer means the member sends the payment. Card and check are separate choices. Changes apply only after Save. Clearing every choice and saving means no methods are configured for that invoice type.
Selected online methods also need an enabled Stripe payment account with the required capabilities. Check needs a payee name. Bank transfer is not available through the legacy shared account. A selected method is not a guarantee that members will see it.
Application fee checkout currently requires a credit or debit card. Keep that choice selected: other selected methods are not offered during application checkout, and removing card can prevent applicants from paying. Application checkout does not add the card surcharge.
Club pays card fees adds no surcharge. Add a card processing fee uses the configured rate and fixed component to calculate a fee; it does not promise to match the payment provider's actual charge. The rate field uses basis points (290 means 2.90%); the fixed-fee field uses dollars. Their descriptions show the supported ranges and when defaults apply.
Default identifies a value supplied by the platform rather than a saved club choice. Treasurers see readable values, not editing controls; only admins can save payment settings. If a submitted draft contains an unrecognized method, review it and use Remove unrecognized values before saving.
